Doxxiom collects documents from your clients so you don't have to chase them by email. You describe what you need, Doxxiom sends your client a secure link, and they upload everything in one place. You review each file, approve or reject it, and optionally have it synced straight into your cloud storage.
This page walks through your first collection end to end. It takes about fifteen minutes.
The core loop
Almost everything in Doxxiom follows the same five steps:
- Add a client — the person you're collecting from.
- Create templates (optional) — reusable document types with automatic file naming.
- Build a request — the list of documents you need, with an optional due date.
- Send it — your client gets an email with a secure link to their portal.
- Review — approve each upload, or reject it with a note asking for a better copy.
Everything else — vaults, signatures, cloud sync — hangs off that loop.
Your first collection
- 1
Add a client
Go to Clients and select Add Client. You need a full name and an email address; company is optional.
Set the client's preferred language while you're there. It controls the language of every email they receive and of their portal, independently of the language you use in the dashboard.
- 2
Create a request
Go to Requests and select New Request. Pick the client, give the request a title your client will recognise — "Q4 2025 Tax Documents" beats "Request 1" — and optionally set a due date.
On the second step, add the items you need. Type a name and press Enter to add each one. You can also add yes/no questions, which reveal further documents only when the client answers Yes.
- 3
Send it to your client
A new request is created as a draft, so nothing is sent until you're ready. Open it, check the item list, then select Send to client.
Your client receives an email with a magic link. They don't need to create an account or remember a password.
- 4
Track progress
The request list shows how many items have been uploaded and how many you've approved. Doxxiom sends automatic reminders as the due date approaches and when it passes, so you don't have to follow up manually.
- 5
Review each upload
Open the request and review each file. Approve accepts it. Reject asks the client to upload a replacement — add a note explaining why ("Image is blurry, please upload a clearer copy") and they'll see it in their portal.
When every item is approved, the request is marked completed and your client sees a confirmation.
Reuse the setup you just did
If you collect the same set of documents repeatedly, save it as a bundle from the request builder. Your next request for that scenario becomes a two-click job. See Templates and bundles.
What your client sees
Your client never sees your dashboard. They get an email, click the link, and land in a portal that shows only their own documents. There's no account to create and no password to manage — access is granted by emailed link.
If you want to know exactly what that experience looks like, or you want something to forward to a confused client, send them Using your client portal. It's written for them, not for you.
Where to go next
- Clients — languages, editing, deleting, and the client page
- Templates and bundles — automatic file naming and reusable document sets
- Document requests — due dates, conditional questions, reviewing uploads
- Vaults — two-way file sharing outside a specific request
- Electronic signatures — sending PDFs for signature
- Cloud integrations — syncing to Google Drive, OneDrive, Dropbox or Box
