A client is the person you collect documents from. Everything else in Doxxiom — requests, vaults, signatures — attaches to one. Clients never see your dashboard and never create an account: they sign in to their own portal through a link you send them.
Adding a client
Go to Clients and select Add Client. You need:
- Full name — shown in their portal and used in automatic file naming.
- Email — where every link and notification is sent. It also identifies them at sign-in, so it must be an address they can actually read.
- Company (optional) — useful when you work with several people at one organisation, and available as a file-naming variable.
- Preferred language — see below.
Email addresses must be unique across your clients. If you try to add one that already exists, Doxxiom tells you rather than creating a duplicate.
Preferred language
Each client has their own language setting, independent of the one you use in the dashboard. It controls:
- the language of every email Doxxiom sends them,
- the language their portal opens in.
Set it when you add the client. Your clients can also switch language themselves from inside the portal, which doesn't change the setting you chose for their emails.
Getting this right the first time avoids the most common support question a new client asks, which is why the email arrived in the wrong language.
The client page
Selecting a client opens their own page, which brings together:
- Requests — every document request you've sent them, active and completed.
- Signatures — signature requests involving them.
- Vault — their shared file space, if you've enabled one.
It's usually the fastest place to start a new request, because the client is already selected for you.
Client not in the dropdown?
The client picker in the new-request dialog shows a limited number of clients. If you have more than that, use the search box, or start the request from the client's own page instead — the picker is pre-filled there.
Who looks after a client
This section applies to organizations only. On a single-user plan there is nobody else to hand work to, so none of these controls appear.
Every client has an Assigned to member, shown on their page. It starts as whoever added the client, and any member can change it.
Assignment decides who hears about a client:
- Team notifications — a document uploaded, a request completed, a comment from the client, a file or comment in their vault — go to the assigned member.
- With cloud sync set up, their documents go to that member's connected drive.
Assignment is not a permission
Assigning a client to a colleague doesn't hide them from anyone else, and leaving them unassigned protects nothing. Every member of an organization can see and act on every client, request and vault in it. Assignment routes mail and files — it doesn't lock anything.
Use Assigned to me on the client list to narrow it to your own clients. Reassigning a client is recorded in Activity, because the person who notices the mail stopped arriving is rarely the person who changed it.
When someone leaves
Removing a member from the organization moves their clients, requests and signatures to the owner, so nothing keeps mailing an ex-colleague. Reassign them afterwards from each client's page.
Editing and deleting
Use Edit on the client page to correct a name, email, company or language. Changing the email address changes where future links are sent; links already delivered to the old address stop being usable for the new one.
Deleting a client is permanent and takes everything with it — all of their requests, all uploaded files, and their vault contents. Doxxiom asks you to confirm first.
Deletion cannot be undone
If you only want to stop working with someone for now, leave the client in place. There's no cost to an inactive client beyond the count against your plan limit, and their history stays intact.
