Someone you work with — your accountant, lawyer, broker or advisor — is using Doxxiom to collect documents from you. This page explains what to expect. You do not need a Doxxiom account, and there is nothing to install.
Getting in
You'll receive an email with a button or link to open your portal. Selecting it signs you in automatically — there is no password to create or remember.
Didn't get the email?
Check your spam or junk folder first. If it still hasn't arrived, go to the portal sign-in page and enter the same email address your professional has on file. A fresh link will be sent to you.
Access links expire after a while for security. If yours has stopped working, request a new one from the sign-in page — it doesn't affect anything you've already uploaded.
Uploading your documents
Your portal lists everything that's been requested. Each item shows its current state:
| What you see | What it means |
|---|---|
| Upload needed | Nothing received yet — this one is waiting on you. |
| Uploaded — Under review | Received. Your professional is checking it. |
| Rejected — Re-upload needed | Something was wrong with the file. A note explains what. |
| Approved | Done. Nothing more needed. |
Select Upload documents on an item to attach a file. You can select several files at once, and you can add more to the same item later. Photos of paper documents are fine as long as the whole page is visible and the text is legible.
File size limit
Individual files can be up to 25 MB, though your professional's plan may set a lower limit. If a scan is too large, scan it at a lower resolution or split it into several files — you can upload more than one file per item.
Yes/no questions
Some items are questions rather than uploads — for example, "Did you sell a property this year?"
Answer Yes and the related documents appear for you to upload. Answer No and they're removed from your list, because they don't apply to you.
You can change an answer later. If you switch from Yes to No, any documents you already uploaded for that question are deleted — Doxxiom warns you before this happens.
If a document is rejected
A rejection isn't a problem, it just means the copy wasn't usable — a blurry photo, a missing page, or the wrong year. The item reappears with a note explaining what's needed. Select Re-upload and send a better copy.
Asking a question
Every request has a comment section at the bottom. Use it if you're unsure what a document refers to or whether something applies to you — your professional is notified and replies in the same place.
Signing documents
If you've been sent something to sign, it appears under the Signatures tab in your portal, or you can use the link in the signing email directly.
Open the document, review it, then place your signature where indicated. Once everyone involved has signed, you can download the signed copy and its certificate of completion from the same screen.
The vault
Some professionals enable a Vault — a shared folder for files that aren't tied to a specific request. Anything they place there is yours to download, and you can upload files of your own into it at any time. It appears as a tab in your portal when it's turned on.
Your privacy
- Your portal shows only your own documents. Other clients cannot see them.
- Access is granted by emailed link to your own address, so nobody else can sign in as you.
- Read the full Privacy Policy for details on how your files are stored and how long they're kept.
Still stuck?
Your professional is the fastest route to an answer — they can see exactly what they asked you for. Use the comment box on the request, or reply to the email they sent you.
